1. Introduction
SureMile ("we", "our", or "us") operates the SureMile mobile application and the getsuremile.com website (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. We are committed to protecting the privacy of our users, particularly truck drivers, fleet operators, and dispatch professionals.
2. Information We Collect
We collect the following types of information:
- Phone Number: For account authentication via SMS verification
- Name & Organization: To set up your fleet profile
- Location Data: Precise GPS coordinates during active trips only, used for state by state IFTA mileage calculations, turn by turn truck navigation, shipper and receiver arrival detection, and detention timer tracking at customer facilities. The app may collect location in the background while a trip is active so that mileage and arrival events remain accurate even when the phone screen is locked in the cab.
- Photos & Documents: Rate confirmations, BOLs, PODs, and receipts that you upload for AI processing
- Identifiers: Your SureMile user ID which signs you in, keeps your organization's records separate from every other organization's, unlocks the plan you paid for, and lets us trace a crash back to the account that hit it and your device's identifiers, including the push notification token we send alerts to and the advertising identifier iOS and Android assign to your phone. The user ID and advertising identifier are also shared with our advertising partners so we can measure our own campaigns (see Section 5).
- Purchases: Which SureMile plan you bought, whether you are in a trial, and what it cost. Used to unlock the features you paid for and to understand which of our ads lead to subscriptions. Your card details are handled entirely by Apple or Google we never see or store them.
- Device Information: Device type and push notification tokens for delivering alerts
- Usage & Advertising Data: Which screens and features you interact with, and app events such as install, signup, trial start, and subscription start used to improve our services and to measure the advertising we run for SureMile
3. How We Use Your Information
We use your information to:
- Authenticate your identity and maintain account security
- Process rate confirmations using AI to create dispatch sheets
- Track trips and calculate state by state IFTA mileage
- Generate invoices and manage fleet operations
- Send push notifications for load assignments and trip updates
- Improve and optimize our Service
4. Location Data
Our app collects precise location data ONLY during active trips that you start manually. Location tracking is used for:
- State border crossing detection for IFTA fuel tax mileage reports
- Turn by turn truck legal navigation and ETA calculation
- Shipper and receiver arrival detection to automatically log pickup and delivery times
- Detention timer tracking when you are waiting at a customer's dock
- Real time trip status for your organization's dispatch team
The app requests background location so that mileage for IFTA and arrival/detention events remain accurate while the phone is locked in the cab or another app is in use. Location is not collected when no trip is active. You can stop location tracking at any time by ending your trip, and you can disable location permission entirely from your device's Settings though doing so will disable navigation, IFTA mileage tracking, and detention detection.
5. Information Sharing
We do NOT sell your personal information. Your business data — loads, routes, rates, documents, and finances — is never shared with any third party for its own purposes.
We share limited personal information only with:
- Service providers (processors) that operate the Service under contract and on our instructions — for example our cloud infrastructure provider (Supabase) and SMS delivery provider (Twilio). They may not use your information for any other purpose.
- Advertising & analytics partners — we use Meta Platforms (Facebook/Instagram) for ad measurement and AppsFlyer for install attribution, so we can understand how people discover SureMile. These partners receive a limited, fixed set of data: your device's advertising identifier, your SureMile user ID, and app events such as install, signup, trial start, or subscription start, including the plan price. They never receive your loads, routes, rates, documents, financial data, or GPS location. They process what they receive under their own privacy policies.
Tracking. Because the above links your device and your SureMile account to activity measured across other companies' apps and websites, Apple classifies it as tracking which is why iOS asks your permission before we do it. The data we use this way is limited to five items: your advertising identifier, your SureMile user ID, your purchase history, the app events you trigger, and the advertising data tied to your install. Your precise location is never used for tracking, and neither are your loads, routes, rates, documents, or finances.
Your choices: on iOS you can decline the "Allow Apps to Request to Track" prompt, in which case we switch off the advertising identifier and Meta cannot use it; on Android you can limit ad personalization in device Settings. To opt out entirely, contact us at ssuremiles@yahoo.com.
We may also disclose information when required by law, valid legal process, or to protect the rights, property, or safety of SureMile, our users, or the public.
6. Data Security
We implement industry standard security measures including:
- Encryption in transit (TLS/SSL) and at rest
- Row level security policies on all database tables
- Secure authentication via one time passwords
- Regular security audits and monitoring
7. Your Rights & Account Deletion
You have the right to:
- Access your personal data
- Delete your account at any time from within the app (Profile screen → Delete Account). Deleting your account signs you out, deactivates your login so you cannot sign back in, and flags your profile as deactivated. Records your organization is required to retain for legal or regulatory compliance such as trip records used for IFTA fuel tax reporting, DOT records, load history, documents, and invoices may be retained by your organization in accordance with applicable law.

- Opt out of non essential notifications

8. Children's Privacy
Our Service is not directed to children. We do not collect any personal information from children. If you believe we have collected data from a child, please contact us immediately.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Effective Date." Continued use of the Service after changes constitutes acceptance.
